- 150 users: about $45,000–86,000 a year in licences.
- 500 users: about $150,000–288,000 a year in licences.
These are licence costs alone, before implementation, and they recur every year.
What a self-hosted build costs instead
A self-hosted system has three cost lines:
- Build: a fixed-scope project, from discovery to production.
- Infrastructure: servers or private cloud, contracted by you at cost. Small fine-tuned models keep this modest.
- Support (optional): a monthly retainer, or your own team with runbooks.
None of these grows per user. Adding 350 more users changes infrastructure load, not licence count.
When per seat is still better
For a small team that needs results this month and can store data in a vendor's cloud, a SaaS product is often the right call. Per-seat pricing hurts most at scale, or where data control rules out the vendor's cloud anyway.
